This Privacy Policy explains how Vision Mechatronics Pvt. Ltd. ("Company", "we", "us") collects, uses, stores, shares and protects personal data through the HyCooker® website (hycookerindia.com), in accordance with India's Digital Personal Data Protection Act, 2023 (DPDP Act). By using this website, creating an account, placing an order, or submitting dealer/partner onboarding documents, you consent to the processing described here.

1. What Personal Data We Collect

We collect different data depending on how you use the site:

  • Account: name, email, phone number, password (encrypted), and — if you sign in with Google — your Google profile photo.
  • Orders & checkout: shipping and billing address, phone number, GSTIN (if provided for a GST invoice). We do not store your card, UPI, or bank details — payments are processed entirely by our payment gateway, Cashfree.
  • Refill service: delivery address, GPS location pin (if you use the map picker), and delivery notes.
  • Dealer & refill-partner onboarding: PAN, Aadhaar number and scanned image, GSTIN and certificate, business address, bank account details, signed agreement and signature, and (for refill partners) PESO licence and cylinder certification documents. This is the most sensitive data we hold and is used strictly for verifying and onboarding dealers/partners.
  • Support chat: if you use our live chat widget, your name and email may be captured by that tool.
  • Cookies: an essential session cookie (keeps you logged in, keeps your cart), and — only if you accept them in the cookie banner — analytics cookies from our chat/support widget.

2. Why We Collect It (Purpose & Legal Basis)

We process your personal data to: create and manage your account; fulfil and deliver your order; raise GST-compliant invoices; verify and onboard dealers and refill partners; generate and store legally binding signed agreements; provide customer support; and comply with tax, audit, and other legal obligations. Processing is based on your consent and on what is necessary to perform our contract with you.

3. Who We Share It With

We share personal data only where necessary to run the service, and never sell it:

  • Cashfree — to process your payment.
  • Google — if you choose "Sign in with Google", or if we show a delivery/service-area map.
  • Delivery & refill partners — only the delivery address and contact details needed to fulfil your order or refill.
  • Government or regulatory authorities — where legally required (e.g. tax filings, lawful requests).

4. Where Your Data Is Stored

Our application and database are hosted in India. Dealer and partner KYC documents (PAN, Aadhaar, GST, signatures) are stored on access-controlled storage and can only be viewed by authenticated administrators — they are not publicly browsable.

5. How Long We Keep It

Account and order data is retained for as long as your account is active and as needed to meet our tax and legal record-keeping obligations. Dealer and refill-partner KYC and financial records are retained for the duration of the business relationship, and for 7 years after it ends, in line with standard Indian tax and audit record-keeping requirements. You may request earlier deletion of data we are not legally required to retain — see Section 7.

6. Cookies

We use an essential session cookie required for login and cart functionality, which cannot be disabled. With your consent, we also use analytics/functional cookies from our support chat widget. You can change your preference any time using the "Manage preferences" link in our cookie banner, or by clicking here: .

7. Your Rights Under the DPDP Act, 2023

As a data principal, you have the right to:

  • Access a summary of the personal data we hold about you and how it is processed.
  • Correct or update inaccurate or outdated personal data.
  • Erase personal data that is no longer necessary for the purpose it was collected, subject to our legal retention obligations (Section 5).
  • Withdraw consent at any time — this does not affect the lawfulness of processing carried out before withdrawal, and may limit our ability to provide certain services (e.g. we cannot ship an order without a delivery address).
  • Grievance redressal — raise a complaint about how your data has been handled, and receive a response within a reasonable time.
  • Nominate another individual to exercise these rights on your behalf in the event of your death or incapacity.

To exercise any of these rights, contact our Grievance Officer below. We may need to verify your identity before acting on a request.

10. Security

We use reasonable technical and organisational safeguards — including access-controlled storage for sensitive KYC documents, encrypted passwords, and restricted admin access — to protect your personal data against unauthorised access, loss, or misuse. No system is completely immune to risk; if a breach affecting your personal data occurs, we will notify you and the Data Protection Board of India as required by law.
